How to use the 80/20 rule to Prioritize – Simple Time Management Ideas

I sit down. Turn on the Computer. 

The smell of coffee hits my nose. Do I dare do it? 

I take a peek at my to do list. 

2 Pages A4. 

I am immediatelly overwhelmed. A sense of dread hits me. How am I supposed to finish all those tasks? 

I get up. Maybe it’s time for breakfast. 

 

Do you get overwhelmed by your to-do list? I often did. I fact I got so overwhelmed I started procrastinating big time. 

But guess what I still have a Master To-Do list (3 pages A4 and growing), but I don’t get so overwhelmed anymore. (At least most of the time) Instead I have continuously day after day worked and achieved my milestones.

Moved first home and than to Korea ✔️✔️

Grew Readers ✔️

 

One Technique I use besides my productivity system  is the Pareto Principle for Time Management, better known as the 80/20 rule. You could also say you start with your most important tasks. 

 

The principle is already more than 100 years old. It was created in 1895 by the famous Italian economist Vilfredo Pareto. It’s a timeless principle,  applicable to any field you are in!

Benefits of Folllowing the 80 /20 Rule

The 80-20 Rule:

                • Cuts down your work time
                • Makes you feel less stressed
                • Increases your productivity
                • Gives you information on where your revenue/results come from

What is the 80/20 rule?

Pareto explained it with the wealth division in Italy: 80% of the Italian wealth is owned by 20% of the population (investopedia).

In a business this means that 80% of revenue comes from 20% of the customers.

Now we know we have to concentrate on THE 20% and to build our relationship with those customers. But not only with customer 20 % of our efforts lead to 80% of our results. 

 

What tasks are we focusing on that take a lot of time but have no big impact on the results? 

The Pareto Principle or the 80-20 rule helps us evluate all the tasks we are doing or have to do. Which tasks are actually necessary to get the best outcome with the least effort? 

The 80 / 20 Rule shows us how to get the fastest/best outcome with the least effort/resources. 

What does the 80/20 rule mean for time management?

You can now use the Pareto Principle to organize your schedule and to prioritize your tasks to work the most efficiently: 

  1. Take out your to-do list and mark your tasks 
  • A = high impact
  • B = medium impact
  • C = Low impact on success

Always work on your A-level tasks first. 

How do you use the 80/20 rule to set goals?

Let's say you are a blogger or Sales Person:

Chose goals who have the highest impact on your Success: 

For example many bloggers create fancy looking Pinterest header Pictures. But there is barely any benefit to your daily readers. Check which number 1 goal this month, this week, and today would have the highest impact on your success. 

Chose goals with your Key Customers in Mind: 

20% of our readers make 80% of our income, so we focus on them. What content do they like? Which design? In what topics are they interested and why? If 20% of our readers make 80% of our income than we can set up a clearer target group analysis to increase our popularity and revenue. Focus on them. Create content based on your core audience. 

Is the 80 -20 Rule an Unchangeable Law? Pareto Debunked

Now before you think  about your top 20%  I have to clear a last misconception. 

As you probably read 20% and 80% you figured it sums up to 100%. But the 80% is actually not set in stone. It can be 70% or 90%. So, for example, 20% of the reader can create 57% of your income or 89%.

I am sure you have used the 80/20 rule already – in School: 

Just think back when exams came up: Did you study every single paper your teacher has ever handed out? Or did you cut down your workload by guessing what’s on the test and what’s not? 

Here, the rule is simple: 20% of your material is mainly on the test. Those 20% give you 80% of the points.

In the best case, you’d be able to do a self-care night routine every day. Monday to Sunday to stay productive and energized. But who has time for that, right? And sometimes things just happen…

 

But seriously, we should all take time to pamper ourselves (have to scold myself too). We can only do our best when we are in good shape. Physically and mentally. So here is when you should definitely think about a pamper night: 

 

  1. Always grumpy because everything feels “too much”
  2. You feel super drained and tired. 
  3. Haven’t had a self-care day in ages. 
  4.  When you love to take care of people or you like to please people. Learn to take care of yourself too. 
  5. If your body is aching all over, because you’ve been working all day. 
  6. When you struggle with falling asleep and it’s difficult for you to wake up in the morning.

1: Turn off your phone

Yes, I really mean it!. How should you destress and enjoy your evening when you know someone could call any second? Of course, I am not talking about calls from your family (though they can also be stressful 😉 )  – I am talking about work calls. 

 

Turning off your phone helps you unwind from work. You won’t get interrupted. And you can enjoy some time with yourself. Plus, according to express.co.uk, it is more likely that you develop brain cancer when sleeping close to your phone!

2: Open your windows

Getting some air into that stuffy room sounds really nice. Especially when you work and live in a one-room apartment! 

But did you know that fresh air actually makes you feel revived? According to thriveglobal.com, it is due to the increased Serotonin production as we get more oxygen. If you don’t produce enough Serotonin it could also lead to depression and anxiety (ELAINE TAYLOR)

So opening your window can actually improve your mood! This is a really important factor to feel refreshed and thereby an important step to include in your routine!

3: Do some light stretching, Yoga or Workout

Sore from working all day? A quick stretch helps you relax your muscles and also improves your posture. 

I’ve just realized a couple of weeks ago that my posture has become quite bad thanks to hunching over during studying. Applying some back stretches each night helped me improve my shoulder tenseness by a lot. And thereby I also decreased my back pain! 

 

My sister also told me that we have to straighten our arms from time to time as we spent too much time with angled arms! 

 

Having such a beneficial impact on our long-term health I would definitely recommend you to include a short stretch session into your daily night routine! At the moment we like to use Yuuka Sagawa’s Youtube Videos: 

4: Journal or Write

While many people include their day planning into their morning routine, you could also include it in your night routine. Planning at night gives you the advantage that you save time in the morning. Also, you can start your day better when all your tasks are planned out and you are ready to go. Of course, you could also journal in a creative way including drawings and stickers.

Or do some freestyle writing. 

If you are a hobby author you could also write stories. It is just important that you do not see writing as a responsibility. It should help you relax, not make you even more stressed. (Speaking from personal experience here xD).

Those are great ways to express yourself and to get into a more peaceful state. 

5: Craft or Draw something

Another great way to be creative is to craft or draw.  Crafting and drawing makes you happier and less stressed ( Jacque Wilson)

And who knows, maybe one day your creations are your next big product idea? Ups yeah don’t think about work.

Number 6: Read a book

One of the most shared “successful people habits” is reading. Is there a better way to not only gain new information but to also enjoy your evening? 

The refreshing point here is that you stimulate your imagination. If I read a book about success, I imagine a woman being very productive but also enjoying what she does. If I read a novel, I imagine the characters and how they interact with each other. I would almost compare it to daydreaming. You are adapting the content read to your own perception. Number 7: Drink tea

Tea is another energetic add-on to your routine. Not only is it hydrating your body, but also has health benefits based on the tea you choose. 

 

Green Tea:        

Helps against cancer, fat loss, lowers the risk of heart disease

Fennel Tea        

Helps digestion, improves eyesight, detoxifies the body

Chamomile Tea    

Reduces inflammation, cancer prevention

Gingseng Tea         

Improves memory, balances hormones, anti-aging

Yarrow Tea       

Reduces depression and anxiety, eases menstrual cramps

If you enjoy your tea hot it gives you a warm and cozy feeling, while iced tea makes you more awake and refreshed. If you drink herbal tea then please check how many cups are healthy to drink.

8: Listen to Music

One of my favorite things to do before heading to bed is turning on my favorite playlist. Not only does it contain mood-boosting songs, but it also makes me sing and dance like crazy.  (Thank you neighbor for not complaining so far!)

9: Watch the stars

Have you ever watched the stars at night? It’s so beautiful and calming! Implementing it in your night routine gives you time to see the world around you. Also, It gives you time to think about everything on your mind and to deep declutter your thoughts. This way your thoughts won’t keep you awake at night and you can have a fresh start the next day.

10: Clean your body - Take a Bath

This one gives you the most refreshing feeling ever. Just imagine how clean and nice you feel after taking a bath and washing all your worries away. I also like to use face masks and creams to get the cooling effect on my skin.  Pampering myself is my way to show I love myself. I care for myself.  And even if I am stressed I put myself first.

11. Drink more Water

For my bedtime routine I try to remind myself to drink enough water. It’s super important that we stay hydrated. So before bedtime drink a cup of water. 

12. Prep a delicious Dinner

To relax and wind down in the evening I love to cook a simple dinner. Something not too heavy so you can easily fall asleep later. A soup or salad. I also love to try new recipes from all around the world.

13. Take Care of your Skin - Cleanse your Face

I’ve moved to Korea and they take skin care up to a new level. It’s amazing how refreshed you feel after a face cleanse. Your face will start looking fresher. 14. Floss in your Self care night routine

Can’t forget about flossing before you go to bed. Your teeth and dentist will thank you. I think not flossing is one of the biggest regrets people have once they start having troubles with their teeth.

Take 5 to 10 minutes to meditate or if that is difficult to slowly, conciously breath. Here is a guided meditation: 

16: Invite Friends for a Fun Night Routine Together

You can do a stay over with the girls to pamper yourself and have som fun. Try these self-care activities with your friends: 

  • Do you hair
  • Use face masks
  • Go to a Sauna together
  •  Get your nails done
  • Do a Mani-Pedi
  • Play games
  • Cook Together
  • Make your own candles
  • Dance together

How do I make Selfcare time?

Often we don’t have enough time for self care. Or at least we don’t make it. Here are tips on how to make time for your self-care evening routine: 

  1.  Take some time for yourself. Prioritize it. 
  2. Actively schedule me time in your calendar. 
  3. Create your own bedtime rituals and habits
In the end it comes down to how important self care is for you. You’ll have to make time for it and not do something else. Sometimes just watching TV and lazying around is self-care too.

5 Practical Tips on How to Change my Attitude

Do you let a small thing ruin your whole day? Your good mood is gone and you get in a funk. Being sensitive isn’t bad. But sometimes it’s a right burden if it messes up your whole day.Or are you in general a very pessimistic and negative person? Do you wonder how to change my attitude? 

Let’s jump right in: 

What are the different types of attitudes?

Before you learn how to change your attitude to a positive one you need to know which attitudes exist in first line:

Positive Attitudes:

Connections: Affectionate, Free, Confident, Responsible, Ambitious, Caring, Sincere, Faith, Reliable

This attitude is known for being the worst of all. According to Carolyn Landesman it is destructive and destroys any positive image that comes to mind. 

To understand the difference between the four attitudes  I’d like to quote an example of Asrar Ayyub – “If you protect yourself without damaging others, your attitude is positive; if you protect yourself by damaging others, your attitude is negative; if you are unconcerned with your or someone else’s interests, your attitude is neutral; and if in an attempt to damage others, you do not hesitate even to damage yourself your attitude is sikken.”

1. Positive Self-Talk

No more negative thoughts. Instead of swearing and being argumentative Give yourself a pep-talk in front of the mirror. (Funny Faces are Encouraged)

 2. Go Out- Change the Scene

The best way to get out of a funk are new experiences. Visit places showcasing colorful paintings.  Go watch sunsets or people. Watch the beauty of nature.

3. Don’t Care About The Opinions Of Others

Learn to care less. Do what you like. Like what you do. If you know your loved one criticises or even mocks you for a hobby or a mistake then dont tell them. You like old cars? Go find people who like old cars too. You like history? Go talk with people who like history. There are billions of people on this planet. 4. Breath

Take 10 deep breaths. In out. In out. If neccessary count back from 10. Disconnect feel the emotion floating away.

5. Follow The 10/10/10 Rule

Will what happened matter in 10 days, 10 months, 10 years? If yes maybe it’s time to talk to the person who causes those feelings. (Take a day to cool of first. I had my worst conversations in an lets say unbalanced mood).

6. Don't take Everything Personal - You aren't that important

Your friend does’t text you all day and you are in a foul mood cause you think she doesn’t think you are important. She too has a life. The most likely explanation is that she is simply busy. 

7. Eat, Sleep, Drink Well

In Germany there is this snickers commercial “You aren’t you when you are hungry” (Is that a thing in your country?)

Anyways not enough rest, being hungry and not enough water can turn us into right beasts. (Your man is grumpy all day -> try food 😉 ) 

8. Gratitude Lists or Journals

I think they are just fluff talk, I appreciate small things all day no need to write them down. (Feel free to correct me) 

BIG BUT  many swear that writing down something positive each day helps them stay positive! Try it and see if it works for yourself. See it as an experiment. 

9. Stay away from the News

I don’t watch any news anymore. Everything on the news is trimmed to make us angry, afraid, sad, shocked, grumpy. (Even the weatherforecast in Germany makes me sad most of the time). We soak up all that negativity and wonder why we are cynical, grumbly people. 

Try it: Stay away from social media (<- you can read how to do that here), and stay away from the news for 2 weeks it’s a 14 day challenge .

10. Ready For Action

You theoretically know you don’t have to be pessimistic all the time, but you can’t stop your negative feelings? Move it. Don’t stay indoors all day. Make experiences. (Go grab you headphones, turn on some positive music (yeah feels weird at first when your emotions and the music don’t match keep listening anyways) , go out, take a walk) You can even leave the blogpost (tho make sure to come back and leave a comment later 😉 ) 

11. Do something physical or start a Project

Are you always angry at the world? Most likely you feel hurt. It’s always easier to be angry than to feel the pain (at least for me). You need to work all those feelings out of your system. Go do a six pack challenge or try one of these 30 day challenges. Or you can start a project. Plan an event for people in the same situation. Be PROACTIVE. 

You don’t have to stay in that situation. It’s up to you to turn all that negative energy into something meaningful. You’ll find out changing your attitude is possible.
